Understand AI before you adopt it

AI is moving fast and it can genuinely make everyday work easier — but only if you know what it does, where it fails, and how to keep your data safe. This page is here to teach, not to sell.

What AI actually is

Strip away the hype and it’s easier to use well — and easier to stay safe with.

It predicts, it doesn’t “know”

Today’s AI is trained on enormous amounts of text and predicts a likely, useful answer. It is remarkably good at this — but it is not looking things up, and it does not understand the way a person does.

What it’s great at

Drafting and rewording, summarising long documents, explaining things simply, brainstorming, and taking the grind out of repetitive writing and data work. It gets you a strong first draft, fast.

Where it falls down

It can state wrong things with total confidence, invent facts and sources, and slip up on exact maths. Treat it like a fast, confident intern: brilliant for a first pass, never the final word on anything that matters.

The security side of AI

The part that gets talked about least and matters most. None of this means avoid AI — it means use it with your eyes open.

Your data can leave the room

Anything you paste into a free, public AI tool may be stored or used to improve it. Treat those tools like a postcard, not a vault — never paste customer records, passwords or anything confidential.

Scams just got an upgrade

The same technology clones voices, writes flawless phishing emails and fakes video. If a message feels urgent and real, that is now easy to manufacture — verify before you act.

The platforms get breached too

AI services are online systems, and online systems get attacked. Assume that anything you hand to one could, one day, be exposed — and decide what you share on that basis.

How to use AI safely

A short list that covers most of the risk, for individuals and teams alike.

  • Never paste confidential or personal data into public tools. Customer details, passwords, financials, anything private — keep it out of free chatbots.
  • Use business-grade tools for business data. Options like Microsoft 365 Copilot run inside your own tenant with proper data protections, instead of a public service.
  • Always check what matters. Read it, verify facts and figures, and never send anything important straight from the AI without a human eye on it.
  • Agree a simple policy with your team. One page: which tools are allowed, what must never go in, who to ask. It prevents most problems.
  • Be honest about where it’s used. Especially in anything a client, patient or regulator relies on. Transparency keeps you out of trouble.

Where we can help

When you’re ready to put AI to work, we help you do it on purpose — with the right licences, permissions and policies in place.

Microsoft 365 Copilot licensing & rollout

Licences provisioned through Rhiza, configured for your tenant, with data permissions reviewed and staff trained before launch.

AI readiness & governance assessment

A scoped review of how AI is already being used, where your data could be exposed, and a baseline policy to work from.

Workflow automation

AI with Power Automate and PowerShell to handle email triage, ticket routing, document summaries and repetitive data entry.

Scoped project or retainer add-on

Internal chatbot & knowledge base

A support bot trained on your own internal documentation, so staff can find answers without waiting on someone.

AI security monitoring
